Hi Swim Team Families!

Registration for the Dorset Summer Swim Team is now OPEN! We’re excited for another fun season!  Please share the SwimTopia link to friends and neighbors to join our team.  They do not have to live in Dorset.  Attached is a graphic you can share. 

We also wanted to share that this is our last season as Swim Team Coordinators (Kendall and Michele) and Treasurer (Nicole).

To keep the team going in 2027, we need new volunteers to step in this season to learn the roles to ensure a smooth transition. Without new coordinators, the team will not be able to continue next summer.

Open Roles for 2027:

• Swim Team Coordinators (Recommended as a duo). This role is best shared between two or more people who work well together.
• Pre-Season: Attending Cobb Summer League meeting in February, staying updated on league rules, and managing compliance/financial deadlines.
• Logistics: Confirming coaching staff, launching registration, and ordering spirit wear (t-shirts/ribbons).
• Daily Operations: Communicating with coaches, tracking staff hours, managing parent communications, and communicating with opposing team's coordinators..
• Meet Days: Managing on-site logistics from setup to breakdown, coordinating with referees, and filling volunteer gaps.
• Vendor Management: Coordinating with the HOA to ensure the pool is chemical-ready, reserved for practice/meet times, and lifeguard is secured.
• League Liaison: Acting as the voice of Dorset during any league-wide disputes, weather delays, or scheduling changes.
• End-of-Season Party: Organizing awards, food, and celebration to cap off the summer.
• Software Management: Learning and managing the team’s software (SwimTopia) for meet entries, heat sheets, and announcements.
• Treasurer:

• Manage yearly budget
• Purchase event insurance prior to the start of the swim season
• Withdraw cash from the swim team bank account for change for the home swim meet concessions booth
• Deposit cash timely after each home swim meet into the swim team bank account
• Reimburse individuals for swim team related expenses (concessions, propane,
  equipment, end of year party, etc)
• Pay swim team coaches
• Facilitate the end of the season “parents’ bonus” and pay to coaches/assistants
• Keep record of income and expenses (actuals) during the swim team season
• Occasional contact with the Dorset HOA Treasurer, mainly for reporting-manage the yearly budget.
